Lead Generation

LoopMessage helps businesses collect leads, connect with potential customers, and build meaningful relationships through iMessage, SMS/RCS, and WhatsApp.

Whether you’re generating leads through landing pages, online advertising, registration forms, or your CRM, LoopMessage allows you to turn those leads into real, two-way conversations.

Unlike traditional outreach tools focused on sending messages to large contact lists, LoopMessage is designed for interactive communication, where customers can ask questions, receive personalized responses, and engage directly with your business.

The key to successful lead generation is not simply reaching more people. It’s making your messages personal, recognizable, and relevant enough that recipients actually want to respond.

1. Collecting leads and starting conversations

LoopMessage provides three approaches to collecting leads and establishing conversations with your potential customers.

Our built-in Sign-up Forms provide one of the easiest ways to collect leads and establish conversations.

You can embed a customizable form on your website or landing page, or share a direct link to it.

For example, your landing page might display:

Interested in our services? Leave your details, and let’s chat!

When a customer completes the form:

  1. They enter their information, such as their name, email address, or other details you want to collect.
  2. They choose their preferred messaging channel, depending on which channels are available.
  3. They are redirected to their messaging application with a pre-filled opt-in message.
  4. They send the message to your sender.
  5. LoopMessage receives the inbound message and matches it with the information submitted through the form.

Your backend or CRM can receive the collected lead information through a webhook, allowing you to automatically create or update the contact record.

Why this works so well: The customer initiates the conversation, allowing you to reply immediately without the interval restrictions associated with initiating new conversations yourself.

Learn more about Sign-up Forms.

If you already have a website, CRM, or custom lead-generation funnel, you can integrate our Opt-in API without replacing your existing forms.

This API allows you to generate unique opt-in links that redirect customers to their preferred messaging application.

For example, after a visitor submits a request for a consultation, your website might display:

Thanks for your interest! Click below to start a conversation with our team.

You can offer buttons such as:

  • Continue via iMessage
  • Continue via SMS/RCS
  • Continue via WhatsApp

The customer selects a channel and sends a pre-filled message to complete the opt-in.

With this API you can also:

  • Generate unique links for individual leads.
  • Attach custom information, such as lead IDs, campaign IDs, or CRM contact IDs.
  • Track which advertising campaigns generated conversations.
  • Receive webhooks when customers complete their opt-in.
  • Automatically associate incoming messages with existing CRM records.

The main advantage: You keep complete control over your website and lead-generation funnel while benefiting from customer-initiated conversations.

Learn more in the Opt-in API documentation.

Option 3: Collect leads through your own forms and initiate conversations

You can also collect contact information through traditional website forms, lead-generation campaigns, or your CRM and contact those leads yourself.

For example, someone might have:

  • Submitted a contact form on your website.
  • Requested more information about your services.
  • Registered for a consultation.
  • Expressed interest in a product.
  • Asked to be contacted by your sales team.

In these situations, you may use Init Conversation option to send the first message, provided your sender has this feature enabled and you comply with its requirements.

However, there is an important difference: Consent collected outside a messaging application does not automatically establish a conversation within that application. Even when a customer submits their phone number through your website, the first message you send may still be treated as a new conversation by the destination messaging platform.

As a result, additional limitations apply:

  • Approximately ~15 minutes between initiating new conversations, unless individually adjusted.
  • Sender warm-up restrictions and recommended daily initiation limits.
  • A requirement to maintain a healthy reply rate, generally above approximately 30%.
  • Restrictions on the content of the initial message.

The initial outbound message must not contain: promotional content, links, prices, phone numbers, email addresses, or attachments.

Instead, the message should introduce you or your business, explain why you’re contacting the recipient, and invite them to respond or decline further communication.

2. Why customer-initiated conversations are better for lead generation

We strongly recommend using Sign-up Forms or the Opt-in API whenever possible.

These approaches help establish conversations directly within the customer’s preferred messaging application, which can significantly improve your effective messaging capacity.

Here’s how the methods compare:

Messaging scenarioTypical interval
Reply to a customer’s recent inbound messageNo additional interval
Follow-up without recent inbound activityMinimum ~2 minutes
Initiate a conversation with a new contactApproximately ~15 minutes

These are general sending intervals. Actual limits may depend on your sender configuration and applicable policies. Additionally, you may use the Deferred Messages feature, which will help you queue your messages, and we’ll automatically manage all intervals for you.

For example, imagine you generate 100 leads through a landing page. If all 100 leads submit their phone numbers through an ordinary website form, you cannot necessarily contact all of them immediately using the same sender. Each first outbound message is subject to Init Conversation limitations.

However, if those leads complete an opt-in through Sign-up Forms or the Opt-in API by sending the first message themselves, you can respond to their inbound messages immediately.

This makes customer-initiated opt-ins particularly valuable when your advertising campaigns generate many leads within a short period. It also creates a more natural customer experience: instead of receiving an unexpected message, the customer actively chooses to start the conversation.

Important: Customer-initiated messaging does not remove all follow-up limits, pricing plan limits, or consent requirements. Subsequent outbound messages remain subject to the applicable rules. See the Sending Messages API documentation for details.

3. Personalization: The key to successful lead generation

Regardless of which lead collection method you choose, we highly recommend personalizing your conversations as much as possible. This is particularly important when using Option 3, where you’re initiating a conversation with someone who hasn’t previously messaged your sender.

A generic message from an unfamiliar phone number can easily look like spam, even when the recipient previously submitted their information through your website. The following practices can help make your communication feel more natural, trustworthy, and relevant.

3.1. Address recipients by name and introduce yourself

Whenever possible, use the recipient’s first name and clearly explain who is contacting them.

We recommend including:

  • The recipient’s name.
  • Your name or the name of the representative contacting them.
  • Your company name.
  • The reason you’re contacting them.
  • A simple question that encourages a response.

For example, instead of sending:

Hello! Are you interested in our services?

Try something more personal:

Hi Alex! This is Daniel from Northstar Software. We received your request for a demo on our website. Would you like me to help you find the right solution?

The second message provides context, identifies the sender, and makes it easier for the recipient to understand why they’re receiving it.

Examples of personalized initial messages

These examples are suitable starting points for the Init Conversation feature when they reflect a genuine customer request.

Example 1: SaaS demo request

Hi Olivia! I’m Michael from Acme Software. We received your demo request earlier today. Would it be okay if I ask a couple of questions to help find the right solution for you? If you’re no longer interested, just let me know.

Example 2: Real estate lead

Hi James! This is Sarah from BrightHomes. You recently asked about available properties in your area. Are you still looking for a home? I can help you narrow down the options. If you’ve changed your mind, just let me know.

Example 3: Consultation request

Hello Emma! My name is David, and I’m with Apex Consulting. We received your consultation request on our website. Would you like to discuss what you’re looking for? You’re also welcome to let me know if you’re no longer interested.

Example 4: General lead qualification

Hi Daniel! I’m Jessica from Northstar Solutions. You recently expressed interest in learning more about our services. Is it okay if I ask you a quick question to better understand what you need? If you’d prefer not to continue, just reply STOP.

Best practices for the first message

Keep it short and natural. Avoid long introductions, generic marketing language, or complicated questions.

Explain the context. Mention the form, request, or inquiry that led to the conversation. Never invent a previous interaction.

Ask one clear question. Your objective is to start a conversation, not deliver an entire sales pitch in the first message.

Make opting out easy. Give recipients a straightforward way to decline further communication.

Do not include prohibited content. If you’re using Init Conversation, avoid promotional offers, attachments, links, prices, and other restricted content in the first message.

See additional examples in Is it possible to send an outbound text first?.

3.2. Configure your sender’s name and photo

One of the most important recommendations for lead generation is to configure a recognizable name and profile photo for your sender.

Imagine receiving a message from a completely unfamiliar phone number without a recognizable name or photo.

Even if you previously submitted a request through a website, you might not immediately recognize who is contacting you.

A recognizable sender identity can help establish trust and make your conversations feel more professional.

We recommend:

  • Using your business name or the real name of the representative handling the conversation.
  • Adding a professional profile photo or company logo.
  • Keeping the sender identity consistent with the name used on your website and landing pages.
  • Using the same identity in your initial message.

LoopMessage allows you to configure the sender’s contact name and profile photo via Dashboard. You can also manage these settings programmatically using the Manage Sender Name API.

Share your contact card (vCard)

For an even better experience, consider sending your contact information as a vCard. Once customers have initiated a conversation or responded to your first message, you can send them a contact card containing your business or representative’s information.

Recipients can save this contact to their address book, allowing their messaging application to recognize your sender by its saved name and photo. This can also improve the experience when sharing links and continuing conversations in the future.

Note: The appearance of the sender’s name and photo may depend on the recipient’s device, messaging application, and whether they have saved your contact information.

Learn more in How recipients can see my name and photo as the sender.

3.3. Use message reactions to make conversations more natural

LoopMessage supports message reactions, including iMessage Tapbacks. Reactions are a simple way to acknowledge what a customer says without always sending another text message.

For example, when a customer replies:

Yes, that sounds great!

You might react with 👍 and then continue the conversation.

Or when a customer confirms an appointment, you can use a reaction to acknowledge their response.

Reactions can help make automated conversations feel less robotic and more like everyday messaging.

We recommend using reactions when they genuinely fit the conversation, rather than automatically reacting to every message.

The LoopMessage API allows you to send reactions to existing messages using their message IDs.

Learn more in the Send a Reaction API documentation.

3.4. Use attachments to make your messages more engaging

Once a conversation has been established, attachments can help explain your product or service more effectively than plain text alone.

Depending on your business, you might share:

  • Product or service images.
  • Screenshots or visual examples.
  • Brochures and presentations.
  • Real estate photos or floor plans.
  • Product demonstrations.
  • Documents relevant to the customer’s inquiry.

For example, if a potential customer is interested in a product, you might reply:

Thanks, Alex! Here’s an example of what we discussed. Would something like this work for you?

You can then attach a relevant image or document.

This makes your communication more visual and gives recipients an easy opportunity to ask follow-up questions.

Important: Attachments are not permitted in the initial outbound message when using Init Conversation. Use them after the customer has initiated or responded to the conversation, subject to channel capabilities and messaging policies.

4. Lead generation workflows you can automate

After collecting leads and establishing conversations, you can use LoopMessage with your CRM or backend to automate different stages of the sales process.

Lead qualification

Ask potential customers a few simple questions to understand their needs, preferences, and readiness to purchase.

For example:

Thanks for reaching out, Alex! Are you looking for a solution for yourself or for your company?

Use the customer’s answers to update the lead record in your CRM and determine the next step.

Demo and consultation scheduling

When a lead expresses interest, help them schedule a meeting with your sales team.

For example:

Great! Would you prefer a short demo this week or sometime next week?

After the customer responds, you can continue with available meeting options or a scheduling link.

Sales follow-ups

If a potential customer stops responding, you can send a relevant follow-up while respecting the applicable sending intervals.

For example:

Hi Alex! Just checking whether you still had any questions about the solution we discussed. Happy to help if you need anything!

Avoid repeatedly messaging contacts who are not interested or who have requested no further communication.

Appointment reminders

Once a prospect schedules a call or consultation, your CRM can trigger a reminder.

For example:

Hi Alex! Just a reminder about our consultation tomorrow. Looking forward to speaking with you!

These workflows can help you manage your sales pipeline while keeping communication personal and conversational.

5. Integrating LoopMessage with your CRM

LoopMessage can be integrated into your existing lead-generation infrastructure using its API and webhooks.

A typical workflow might look like this:

  1. A visitor submits a form on your landing page.
  2. The visitor completes an opt-in through Sign-up Forms or the Opt-in API.
  3. LoopMessage receives the customer’s first message.
  4. Your backend receives a webhook containing the lead information and opt-in metadata.
  5. Your CRM creates or updates the lead record.
  6. Your backend or sales representative sends a personalized welcome message.
  7. The conversation continues with qualification questions, useful attachments, and relevant follow-ups.
  8. The lead progresses through your sales pipeline.

This approach makes it possible to combine lead acquisition, customer messaging, and CRM automation within a single workflow.

Scaling with Sender Pools

For businesses generating large volumes of leads, Sender Pools allow multiple sender names to be grouped together.

LoopMessage can distribute new contacts across senders and route subsequent messages through the appropriate sender based on the existing conversation relationship.

Automating follow-up intervals

The Deferred Messages feature helps automatically schedule messages affected by sending intervals.

Instead of implementing your own message queue and scheduler, you can let LoopMessage defer eligible messages until the next permitted sending time.

You can also configure allowed sending hours and weekdays, helping ensure customers receive follow-ups at more appropriate times.

6. Best practices for lead generation

Prioritize customer-initiated conversations. Sign-up Forms and the Opt-in API provide a more scalable and natural foundation for collecting leads.

Personalize every conversation. Use the recipient’s name, explain why you’re contacting them, and introduce your business or representative.

Build a recognizable sender identity. Configure your sender’s name and photo and consider sharing your contact card.

Focus on conversations, not message volume. A relevant question that receives a response is more valuable than sending generic messages to uninterested recipients.

Use interactive messaging features. Reactions, attachments, and other supported features can help create a more engaging experience once the conversation has been established.

Respect customer preferences. Honor opt-out requests and obtain appropriate consent for the type of messages you intend to send.

Follow messaging limits. Maintain the required intervals, warm-up periods, and reply-rate requirements for your sender.

Getting started

For most businesses, we recommend starting with Sign-up Forms or the Opt-in API to create customer-initiated conversations.

If you already collect leads through your website, CRM, or another platform, you can also consider the Init Conversation feature for eligible leads who have requested contact.

In all cases, remember that successful lead generation depends on building trust and encouraging genuine conversations, not simply sending more messages.

By combining personalized outreach, recognizable sender identities, message reactions, attachments, and CRM automation, you can turn more of your leads into meaningful customer relationships.
